Job Vacancy: Executive Assistant

Summary:

Provides administrative support to ensure the effective completion of operations at the Association. Assists the staff at the Association with various task related activities which include but are not limited to communication and organisational duties.

The Executive Assistant must be able to effectively communicate organisational tasks to ensure completion in a timely manner. Furthermore, the Administrative Assistant must utilise an effective document and information retrieval management systems necessary for all confidential documents.

Core Responsibilities:

  • Assist in the day to day office management of the Association
  • Assist in the preparation of reports/presentations/proposals
  • Develop and maintain a filing system
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Answers phone calls, schedules meetings and supports visitors
  • Develop and update contact directory of the Association
  • Assist in the coordination of travel logistics for upper management
  • Preparation and maintenance of an office inventory management system
  • Fully cooperate with the administrative staff at the Association in the execution of relevant tasks in accordance to the strategic goals of the Association

Requirements/Competencies:

  • MS Office proficiency
  • Attention to detail and process oriented
  • Knowledge of office management systems
  • Effective communication skills- oral, written, and administrative
  • Flexibility and adaptability
  • Ability to establish and maintain working relationships with administrative staff at the Association
  • Problem solving

Education and Experience:

  • 5 CXC subjects including Mathematics and English
  • 2 years minimum of administrative experience performing clerical/secretarial and administrative support duties
